Once a mailbox has been created on your hosting account, connecting it to a phone, Outlook, or Mac Mail follows the same general pattern across every device — you're just entering the same details into a different interface.
What you'll need
- Your full email address
- Your mailbox password (set when the account was created, or reset via your client portal)
- Incoming and outgoing mail server addresses — specific to your hosting account, available under Services in your client portal, or by requesting them via a support ticket
General setup steps
- In your mail app, choose to add a new account and select "manual setup" or "other" rather than a quick-connect option built for major providers like Gmail — since this is a custom domain mailbox, not a Gmail or Outlook.com account.
- Enter your full email address and password when prompted.
- For incoming mail, choose IMAP (recommended, since it keeps mail synced across all your devices) rather than POP3 (which downloads mail to a single device and can cause messages to appear inconsistently across devices).
- Enter the incoming and outgoing server addresses from your portal, along with the correct port numbers and security type (SSL/TLS) — using the wrong port or security setting is the most common reason a mail app fails to connect even with the correct password.
- Save, and send yourself a test email to confirm both sending and receiving work.
IMAP vs. POP3 — which to choose
Use IMAP unless you have a specific reason not to. IMAP keeps your mailbox in sync across your phone, laptop, and webmail simultaneously — read a message on your phone, and it shows as read everywhere else. POP3 downloads and often removes messages from the server, which can lead to confusing gaps if you check mail from more than one device.
If setup fails
Double-check the server address, port, and password are entered exactly as provided — a single typo in a port number is the most common cause of connection failures. If everything matches and it still won't connect, submit a support ticket with which device and mail app you're using and we'll troubleshoot directly.
